Terms & Conditions

These Terms and Conditions outline the agreement between Kristen Davidson (“the Coach”) and the organisation or individual (“the Client”) engaging my professional health-coaching services. By booking or paying for any service, you are agreeing to these Terms. If you have any questions, please get in touch with me at hello@kristenedavidson.com.

1. Coaching Relationship

  1. Coaching is a collaborative, forward-focused process that supports personal, professional and organisational wellbeing. My role is to guide, question, motivate and help you or your team move towards agreed goals. The Client (individual or organisation) is responsible for taking action and implementing changes.

  2. I maintain professional standards and a recognised Code of Ethics set out by the Association for Coaching and other relevant professional bodies.

  3. Clients are responsible for their physical, mental and emotional wellbeing, including decisions, actions and outcomes that arise from coaching. I am not liable for any direct or indirect consequences of coaching input.

  4. If any participant is currently under medical or mental-health care, I may recommend they inform their provider and, if appropriate, obtain approval to continue.

  5. Clients agree to be open, honest, committed and engaged in the coaching process.

 

2. Scheduling, Cancellations & Fees

  1. Session schedules, workshop dates and support options will be agreed in advance and confirmed by email. Any additional sessions may be booked up to 3 months ahead.

  2. Cancellations require 48 hours’ notice. Late cancellations or non-attendance may be chargeable. I will wait for 15 minutes beyond the scheduled start time before a session is considered missed.

  3. Payment of fees indicates acceptance of these Terms.

  4. Fees and the number of sessions (or programme duration) will be confirmed at the start of our agreement. If no specific number is agreed, services will be provided session by session.

  5. The service start date is the first scheduled session after payment.

  6. Payment may be made by bank transfer or approved online payment systems. Receipts will be provided via email on request.

  7. All fees are payable in advance unless otherwise agreed in writing. Where payment terms are provided by invoice, late payment fees may apply.

  8. Pre-paid sessions must be used within 12 months of purchase unless otherwise agreed.

 

3. Delivery of Services

  1. Contact protocols — e.g., Zoom, Microsoft Teams, phone, WhatsApp, or in-person delivery — will be agreed in advance, including any guidelines for communication between sessions.

  2. I may suggest optional tasks or reflections between sessions. These are not mandatory, but progress may be slower without them.

  3. All information shared within coaching is treated with strict confidentiality according to professional coaching ethics. However, confidentiality is not legally privileged. Information may be disclosed if:

  4. it was in my possession before our work began

  5. it is publicly known

  6. it is received from a third party without breach

  7. I am required by law or safeguarding obligations to disclose it

  8. Anonymous case material may be used for professional supervision, mentoring or continuing professional development.

 

4. Termination & Changes

  1. Either party may end this agreement with two weeks’ written notice. Following termination, and except where required by law (e.g., tax compliance), all personal data will be removed from my systems within 30 days.

  2. If these Terms change, I will provide at least 30 days’ notice. If you do not wish to continue after changes are made, you may cancel in writing and receive a pro-rata refund for unused, prepaid sessions.

  3. This agreement is governed by the laws of England and Wales.

  4. Except where explicitly guaranteed, no warranties are given regarding outcomes or results. My total liability is limited to the amount paid by the Client for services up to the date of termination.

  5. This document forms the entire agreement and replaces any previous written or verbal understanding.

 

5. Business Identity

  1. KristenDavidson.com and WonderfulCoaching.uk are services delivered by Pivot Coaching, a sole-trader business owned by Kristen Davidson.

 

Disclaimer

  1. Coaching services provided by me are not a substitute for medical, mental-health, nutritionist, dietetic or therapeutic treatment. I do not diagnose, treat or cure any medical or psychological condition.

  2. I am not acting as a dietician, mental-health professional, medical practitioner, therapist or counsellor.

  3. Coaching is not a regulated UK industry. I hold accredited training and work under professional coaching standards, but I am not licensed by a statutory body.

  4. Clients remain fully responsible for their wellbeing, lifestyle choices and any decisions made following coaching.

  5. If, during coaching, it becomes clear that specialist support is needed (e.g., dietetics, psychotherapy, medical review), I will recommend pausing coaching and referring the individual to the appropriate professional.

  6. All guidance, ideas and coaching suggestions are designed to support progress toward goals, but results cannot be guaranteed and will vary based on engagement and personal responsibility.

  7. All client information is treated confidentially unless there is a safeguarding risk concerning a child, vulnerable adult, or risk of harm to self or others. In such circumstances, I am ethically and legally required to report the concern.
